ABF Privacy Policy 

The Australian Ballooning Federation Incorporated, hereinafter known as “the ABF” is committed to the protection of your personal information in accordance with the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APP’s govern the way in which organisations can collect, use, disclose, store, secure and dispose of Personal Information.

This policy outlines the ABF’s ongoing obligations to you in respect of how we manage your Personal Information.

What is Personal and Sensitive Information?

‘Personal information’ is defined by the Privacy Act as: information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether the information or opinion is true or not and whether the information or opinion is recorded in a material form or not.

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual's racial or ethnic origin, membership of a trade union or other professional body, criminal record or health information.

Sensitive information will be used by us only:

•    For the primary purpose for which it was obtained

•    For a secondary purpose that is directly related to the primary purpose

•    With your consent; or where required or authorised by law.

How is your personal information collected?

The ABF obtains Personal Information mostly from you when you become a member of the ABF. The ABF may obtain personal information in other ways including through correspondence, by telephone and facsimile, by email, via our website www.abf.net.au, from media and publications, from other publicly available sources and from third parties. Such examples may include:

  1. You becoming a member of the ABF;

  2. You attending an ABF event or ABF endorsed event;

  3. You entering a competition or promotion being sponsored or conducted by the ABF;

  4. You wish to provide services to the ABF or become a committee member.

We collect your Personal Information for the primary purpose of providing and fulfilling our services to you as listed in the ABF Constitution. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. For example, but not limited to, our reporting functions to the Civil Aviation Safety Authority (CASA). 

When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.

Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties in the course of its business. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party. 

Disclosure of Personal Information

Members agree by joining the ABF that their contact details and ballooning qualifications may be made available to all other members by means of an ABF Member Directory. The Directory may be published in the member only section of the web site electronically or sent to members in hard copy. Members may request specific contact details be withheld from the members directory and may opt out of such correspondence.

Your Personal Information may also be disclosed in circumstances including the following:

  • To third parties where you have provided your consent to the use or disclosure; 

  • Where required and authorised under the ABF Constitution;

  • Where required or authorised by law.

Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

Access to your Personal Information

You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.

In order to protect your Personal Information we may require identification from you before releasing the requested information.

It is important that your Personal Information is up to date. The ABF will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. If you find that the information held is not up to date or is inaccurate, please advise the ABF as soon as practicable so we can update our records.
